1. Introduction

Oasis of Grace Veteran & Family Housing ("Oasis of Grace," "we," "us," or "our") is a nonprofit organization dedicated to helping veterans, widows, seniors, and families move from housing instability toward safety, stability, and independence.

This Privacy Policy describes how we collect, use, disclose, and safeguard personal information obtained through our website (the "Site"), our "Oasis AI" chat assistant, and any communication you have with us by phone or email (collectively, the "Services"). By using our Services, you consent to the practices described in this Policy. If you do not agree with this Policy, please do not use the Services.

The dignity we bring to our housing work applies equally to your personal information: we collect only what we need to serve you, we never sell it, and we protect it with care.

2. Information We Collect

a) Information you provide directly. When you contact us through the Site, the Oasis AI assistant, phone, or email — whether to request housing assistance, ask about programs, volunteer, partner, or donate — you may provide:

  • Contact details: name, email address, phone number, and mailing address
  • Assistance details: general information about your housing situation, household composition, and the type of support you are seeking
  • Veteran status information: service-related details you voluntarily share so we can connect you with appropriate benefits and programs
  • Partner and donor details: organization name, your role, and communication preferences

b) Information collected automatically. When you visit the Site, our web servers may automatically record standard technical data, including your IP address, browser and device type, operating system, referring pages, pages viewed, and the date and time of your visit. We use this data in aggregate form to operate, maintain, and improve the Site. It is not used to identify you personally.

c) Information we do not collect through the Site. We do not collect payment card numbers, bank account information, Social Security numbers, or government-issued ID numbers through the public Site. If sensitive documentation is required for a housing application, it is collected directly by program staff through secure channels — never through this website. Please do not send sensitive identity documents through the Site, email, or the chat assistant.

3. How We Use Your Information

We use personal information solely in furtherance of our charitable mission, including to:

  • Respond to your requests for assistance, information, or partnership
  • Assess eligibility for and connect you with housing programs, benefits, healthcare, employment, education, and other support services
  • Coordinate referrals with partner agencies and service providers on your behalf, with your knowledge
  • Process and acknowledge donations and manage donor and partner relationships
  • Send organizational updates, newsletters, or impact reports where you have requested or consented to receive them
  • Operate, secure, and improve the Site and the Oasis AI assistant
  • Comply with legal obligations and produce aggregate, non-identifying reports for grants and accountability purposes

4. How We Share Your Information

We do not sell, rent, trade, or otherwise monetize your personal information. Ever.

We may share personal information only in these limited circumstances:

  • With your consent or at your direction — for example, when making a referral to a housing partner, the U.S. Department of Veterans Affairs, a benefits office, or another service provider
  • With service providers who perform functions on our behalf — such as website hosting, email delivery, and chat services — under contractual obligations to protect your information and use it only as we instruct
  • For legal or safety reasons — to comply with a valid subpoena, court order, or other legal process; to protect the rights, property, or safety of Oasis of Grace, the people we serve, or the public; or to respond to an emergency involving risk of harm
  • In aggregate or de-identified form — such as total households served or program outcomes — in public reporting, grant applications, and impact communications. These statistics never identify any individual.

5. The Oasis AI Chat Assistant

The Site includes "Oasis AI," a chat assistant that may be powered by a third-party platform (such as Tawk.to) and connected to our knowledge base. Information you enter into the chat may be transmitted to and processed by that platform under its own privacy policy, and transcripts may be retained so our staff can follow up on your request.

Please do not share Social Security numbers, financial account details, or other highly sensitive information through the chat. For anything sensitive, call us directly at (472) 300-2430.

6. Data Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction. Access to personal information is limited to staff and volunteers who need it to serve you and who are bound by confidentiality obligations. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

7. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Policy — including providing assistance, maintaining donor and partner records as required by law and sound nonprofit governance, and meeting reporting obligations — after which it is securely deleted or de-identified.

8. Your Rights and Choices

You have the following choices regarding your personal information:

  • Access and correction: You may request a copy of the personal information we hold about you, and ask us to correct or update it
  • Deletion: You may ask us to delete your personal information, subject to legal or record-keeping requirements
  • Opt out of communications: You may unsubscribe from emails at any time by following the instructions in the message or contacting us directly
  • Anonymous browsing: You may use the Site without providing any personal information

To exercise any of these choices, contact us using the details in Section 12. We will respond within a reasonable timeframe.

9. Children's Privacy

The Services are directed to adults. We do not knowingly collect personal information from children under 13 through the Site. If we learn that we have collected such information, we will delete it promptly. Parents or guardians who believe a child has provided us information should contact us immediately.

10. Third-Party Links

The Site may contain links to third-party websites — for example, government benefits portals or partner organizations. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their privacy policies before providing them information.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our programs, technology, or legal requirements. The "Last Updated" date at the top of this page will be revised when changes are made, and material changes will be noted prominently on this page.
